Mileage Reimbursement

Payment to caregivers for drive time and travel between client homes or to a client's home. Calculated at a per-mile rate (often the IRS standard rate) and subject to labor law requirements in some states.

Also known as: mileage reimbursement · travel reimbursement · drive time pay · mileage pay · travel pay

Mileage reimbursement compensates caregivers for travel directly related to care delivery — driving between client homes (multi-client days) or traveling to a client's location. Reimbursement is typically calculated using the IRS standard mileage rate. Some states require mileage reimbursement as a matter of law; others leave it to employer policy. Reimbursement directly affects agency ODP margin — higher mileage costs reduce delivery profit. Route optimization (scheduling geographically proximate clients for caregivers) is a common strategy to reduce mileage costs.

In home care, this means…

Tracked per caregiver per pay period. Affects ODP margin. State-specific requirements vary.
